Welcome to Casa Zaara. These Terms & Conditions (“Terms”) govern your use of our website and your purchase or use of our services. By visiting our website, submitting an inquiry, or booking with us, you agree to these Terms.

Throughout these Terms, “Casa Zaara,” “we,” “us,” and “our” refer to Casa Zaara, and “you” and “your” refer to the website user, client, or customer.

1. Our Services

Casa Zaara offers afternoon tea catering and styled event experiences, which may include food, tea, setup, rentals, decor, and related services depending on the package or format selected.

All services are subject to availability, event details, location, and confirmation by Casa Zaara.

2. Use of This Website

By using our website, you agree to use it only for lawful purposes and in a way that does not interfere with the rights of others or the proper use of the site.

You may not:

  • misuse the website

  • attempt to gain unauthorized access to the website or its systems

  • copy or reuse our content, images, or branding without permission

  • use the website in any unlawful, harmful, or misleading way

We may update, suspend, or remove any part of the website at any time without notice.

3. Inquiries and Quotes

Submitting an inquiry does not guarantee availability or create a confirmed booking.

All quotes are custom and based on the details you provide, including guest count, menu selections, event location, experience style, decor selections, rental needs, and any add-ons requested.

Quotes are valid for the period stated in the quote or, if no period is stated, for a reasonable limited time based on availability and pricing.

4. Booking and Payment

To secure your event date, a 50% booking payment is required at the time of booking. This includes:

  • a 10% non-refundable retainer to reserve your event date

  • a 40% deposit

The remaining 50% balance is due 7 days before your event.

Your event is not considered booked until we have received the required booking payment and any signed agreement or confirmation documents requested.

If final payment is not received by the due date, we reserve the right to cancel the booking and retain any amounts already paid, subject to applicable law and any written agreement between us.

5. Cancellation Policy

If you cancel your event 8 or more days before the event date, the 40% deposit will be refunded. The 10% retainer is non-refundable.

If you cancel your event 4 to 7 days before the event date, 50% of your payment to date (excluding the retainer) will be refunded. The remaining amount is non-refundable.

If you cancel your event 1 to 3 days before the event date, no refund will be issued.

Any custom purchases, rush work, specialty items, branded materials, floral orders, or non-recoverable third-party costs already incurred for your event may also be non-refundable.

6. Rental Items and Security Deposit

If your booking includes rental items, we may require a separate refundable security deposit. This deposit is separate from your booking payment and is intended to cover missing, damaged, excessively soiled, or unreturned items.

The security deposit will be returned after the event once rental items are returned in agreed condition and within the agreed timeframe.

You are responsible for rental items from the time they are delivered, set up, or made available to you until they are returned to us.

Additional charges may apply for:

  • missing items

  • broken or damaged items

  • staining beyond ordinary use

  • late returns

  • replacement costs

  • extra cleaning, repair, or labor required

7. Guest Count and Minimums

Our standard services are available for gatherings of 8 to 40 guests.

For larger events, please contact us for a custom quote.

A minimum order value of $600 applies.

We accept bookings from 7 days to 6 months in advance, depending on availability.

8. Menu and Availability

Our menus may change seasonally and are subject to ingredient availability.

We reserve the right to make reasonable substitutions when needed. Any significant changes will be communicated where appropriate.

Our menu is intentionally designed to be vegetarian friendly, though meat options are available.

At this time, we can not accommodate any dietary restriction such as gluten-free or vegan requirements. All food is prepared in the same kitchen, and cross-contamination with allergens is possible. By booking with us, you acknowledge that we cannot guarantee an allergen-free environment.

A children’s menu is available for children under 12 years of age.

9. Experience Styles and Setup

We offer different experience styles, including:

  • Buffet Style Setup

  • Seated Plated Setup

  • Dropoff Only

  • Picnic Box for Two

Setup inclusions vary depending on the package, quote, and event design. Photos, mood boards, and styling examples are for inspiration and may not reflect the exact final setup unless specifically confirmed in writing.

Fresh flowers, table and chair rentals, custom branding, premium decor, and specialty requests may be available as add-ons and are priced separately.

Teapots and tiered stands are intended to be shared, typically serving 2 to 3 guests per pot and stand.

10. Delivery, Setup, and Access

You are responsible for providing accurate event details, including:

  • event address

  • contact information

  • access instructions

  • setup timing

  • parking information

  • venue restrictions

  • any other relevant logistical details

We are not responsible for delays or limitations caused by inaccurate information, restricted venue access, unsafe working conditions, weather, lack of parking, or circumstances beyond our control.

If setup or delivery conditions are materially different from what was described at the time of booking, additional fees may apply.

11. Outdoor Events

Outdoor setups may be possible depending on the location and conditions, including weather, surface type, shade, wind, access, and overall suitability.

We reserve the right to modify, delay, limit, or decline an outdoor setup if conditions are unsafe or likely to affect the food, decor, rental items, or overall setup.

12. Client Responsibilities

You agree to:

  • provide accurate booking information

  • review your quote and booking details carefully

  • make payments on time

  • ensure a safe and suitable event environment

  • care for any rental items in your possession

  • notify us promptly of any relevant changes

You are responsible for any damage caused by you, your guests, venue staff, or other vendors to Casa Zaara property or rental items.

13. Food Safety and Consumption

We prepare food with care and in accordance with applicable standards. Once food has been delivered, set out, or handed over at the venue, you assume responsibility for how long it remains out, how it is stored, and how it is handled.

Casa Zaara is not responsible for food quality or safety issues arising from improper storage, delayed service, weather exposure, or handling by others after delivery or setup.

14. Photography and Marketing

We may photograph food, styling, setup details, or event elements for use in our portfolio, website, or social media, unless you request otherwise in writing before the event.

We do not intentionally identify private individuals by name without permission.

15. Intellectual Property

All content on this website, including text, branding, design elements, graphics, photos, and logos, belongs to Casa Zaara or is used with permission.

You may not copy, reproduce, distribute, modify, or use our content without our prior written consent.

16. Limitation of Liability

To the fullest extent permitted by law, Casa Zaara is not liable for indirect, incidental, special, or consequential damages arising from your use of the website or our services.

Our total liability for any claim relating to our services shall not exceed the amount paid to us for the specific service giving rise to the claim, except where such limitation is prohibited by law.

Nothing in these Terms excludes liability that cannot legally be excluded under applicable law.

17. Force Majeure

We are not responsible for delays, cancellations, or failure to perform caused by events beyond our reasonable control, including severe weather, natural disasters, public emergencies, government actions, supply disruptions, labor shortages, transportation issues, illness, or venue closures.

If something outside our control affects your event, we will make reasonable efforts to communicate with you and discuss next steps.

18. Third-Party Services

From time to time, we may recommend or coordinate with third-party vendors, such as florists, venues, serve staff, or specialty suppliers. Unless expressly agreed otherwise in writing, those third parties are independent and we are not responsible for their acts, omissions, products, or services.

19. Privacy

Your use of this website is also subject to our Privacy Policy, which explains how we collect, use, and protect your information.

20. Changes to These Terms

We may update these Terms from time to time. Any changes will be posted on this page with the updated date above.

Your continued use of the website or services after changes are posted means you accept the revised Terms.

21. Governing Law

These Terms are governed by the laws of the State of California.
